BBPOS Wise POS E Setup for Virtual Terminal

With the Arcane Virtual Terminal POS, you can use a BBPOS Wise POS E reader to perform in-person credit card transactions directly through your Stripe account. Now that you’ve purchased your BBPOS Wise POS E reader from stripe.com, it’s time to setup your device in the Virtual Terminal and start completing transactions. In this guide, we’ll walk you through connecting your reader to Wi-Fi, registering your reader, and completing a transaction.

You should have already set up your Arcane Virtual Terminal by purchasing a license and registering your subdomain. If you haven’t yet, go back and complete all of the steps in our Arcane Virtual Terminal setup guide. You won’t be able to setup or operate your BBPOS Wise POS E reader until you have done so.

Connecting to Wi-Fi

  1. Once out of the box, remove the plastic cover from the back of your reader to insert the battery, then replace the cover
  2. Press the power button on the right side of the reader, to power it on. If your screen has a plastic covering containing a QR code, scan this to view the button diagram, if you can’t find the button on your own; the plastic can be removed and discarded.
  3. Once booted, swipe from the left side of the screen to load the settings panel. Click “settings” and when prompted, type 07139 as the admin pin, to access the settings panel
  4. Once in the settings panel, click “Wi-Fi Settings” to view and connect to a netowrk
  5. Select the desired network and connect.
  6. After connecting, go back to the previous screen via the “<” button and click “Generate pairing code” to get your reader registration code
  7. You will be presented with a hyphenated sentence. This is your registration code. You will need this code to register your device in the Virtual Terminal.

Registering your device with the Arcane Virtual Terminal

  1. First, log in to your Virtual Terminal via your alias subdomain.
  2. Next, go to the ‘Settings’ panel and click ‘Manage Terminals.’
  3. Click the ‘Toggle New Reader’ form.
  4. Enter your registration code, exactly as it appears on your device from the above steps.
  5. You’ll be prompted to enter a name for your reader. This will help the reader be identified more easily in a multi-reader environment.
  6. Select the location to which you would like to assign the reader.
  7. Finally, click ‘Submit.’

Now that your device is registered, you are ready to start performing credit card transactions in the Arcane Virtual Terminal POS using the BBPOS Wise POS E reader.

Completing a transaction

  1. In the Virtual Terminal, click the plus button below each desired item to add it to the cart. The cart is visible on the right-hand side of the screen under ‘Order Summary.’
  2. Once each desired item has been added, click ‘Proceed to Checkout.
  3. Proceed through the next step and when you reach the payment method option, select the button with the name of your reader to initiate the charge process. This will put the terminal in waiting mode and will prompt the customer to initiate payment with an approved method:
    1. The BBPOS Wise POS E accepts the following payment methods: dip, swipe, hover / contactless RFID, samsung pay, google pay, and apple pay.

If the card is declined, the transaction is cancelled (by the cashier by pressing ‘esc’), or there is no activity for 30 seconds, the reader will deactivate, the order will cancel, and the terminal will exit waiting mode. Once the payment has gone through, the transaction will be complete.

NOTE: In rare occasions it may occur that your reader does not respond to the click request even in a perfect setup and this is likely the result of your router security, not our software nor the reader.  To identify this, reload the web page and right-click and then click inspect.  In the inspector, click on the “console” tab: this will display any errors your site is generating in Javascript (leave this open).  Now on the web page, click the terminal button again.  You will likely see a red error message which begins with a private IP similar to this “https://192-168-5-20.xxxxxxxxxxxxxxxx.device.stripe-terminal-local-reader.net:4443/protojsonservice/JackRabbitService“.  This means that your router is not making the connection between your device and your computer.  To resolve this you must:

(a) First try changing your network’s IPV4 DNS to cloudflare or windows then re-test.  Here’s a quick guide on how to do this: https://www.wikihow.tech/Change-Your-Windows-DNS.  Again, this is specific to your network, it’s not related to us, so if you need assistance with this, please consult a qualified local individual.

(b) Secondly try changing to a different network.  We’ve seen situations where some routers disallow access regardless of your network DNS, so you have to explicitly whitelist the private IP on the router.  Again, this is specific to your network and extremely rare, so if you need assistance with this, please consult a qualified local individual.  Our engineers will not make changes to your home or business routers.

Optional BBPOS Wise POS E Setup for Virtual Terminal

  • Dashboard > Misc Charges:  To charge an amount not present on your dashboard, click one of the 3 “Misc Charge” buttons (these look like a +# button).  These will expand miscellaneous charge fields that can be filled out to any line item and charge value.
  • Order Summary > Customer Info:  In the cart tray, you’ll see a “Customer Info” button which opens the customer information form.  This form can be used to store customer information to your Stripe account or integrated website (ie. WordPress).  This may be useful for things like subscription services.  It can also be used to perform a customer lookup using the appropriate search field (for example, in Stripe this is the customer ID, in WordPress this is an email address).
  • Checkout Details > Set Receipt Recipient: This optional field allows you to set an email address for an email receipt.  If left blank, customers may only receive emailed receipts if their email has been added or account has been looked up using the Customer Info form, above.
  • Customer Insights: Your regulars deserve recognition! The customer insights panel is intended to allow vendors to create a more personal connection with their customers by keeping vendors informed of their patrons’ favorite items, frequency of visit, last visit, name, and contact information.
  • Completed Order > Printable Receipt: The printable receipt will trigger a print prompt on your browser’s default print functionality.

FAQ

  • Q: Why are Misc charges entered as integers?
    A: Stripe requires all charges to be submitted in “cents” format (ie. $1.00 = 100 cents). This will likely change by Q4 2021.
  • Q: When I click the Terminal Pay button, nothing happens. It registered just fine.
    A: When the reader connects to WiFi, it will try to register a private network domain on your router. If your router denies this, clicking the button will do nothing and your browser console will indicate a warning or error with a unique domain and/or IP indicating the device timed out. To solve this, change your public DNS to Google or Cloudclare (8.8.8.8 or 1.1.1.1)

The BBPOS Wise POS E card reader setup procedure is now complete. You are now ready to start using your reader to perform in-person credit card transactions for your business through the Arcane Virtual Terminal POS.
